Studio Policies
A warm welcome! We are so glad you are here!
We have several studio policies that are important for each client to read over before committing to come for sessions. This will help keep each client's experience here at the studio a positive one. After reading the policies, if you have any questions or concerns, please connect with us using the contact form. We'd love to know your expectations for us at the studio.
Thank you so much for taking the time to read the policies. See you at class!
Membership Policies
Here at Pilates Life Studio we offer convenient and flexible memberships. The Pilates Life Studio team is 100% dedicated to each and every member. Memberships include standing reservations where clients are booked into the same classes every week, so our clients don’t need to worry about getting into their preferred class times. This brings greater results because of a higher level of consistency and accountability. These standing reservations are optional, clients with varied schedules are welcome to sign up for available classes that suit their busy schedule week by week.
-
Memberships are charged based on a 4-week auto convenience payment. Your pass will become active upon your first class attendance and is renewed every 28 days using your credit card on file.
-
There is a $25 administration fee if the auto-renewal payment fails.
-
If needing to cancel your upcoming scheduled class we require at minimum 24 hours. Cancelling your classes with more notice is appreciated. With more notice, this helps our community of clients find convenient make up classes. If cancelling 24 hours or more before your upcoming class, your class pass remains on your account. If cancelling without 24 hours notice, it is considered a late cancel and one class pass on your account will be used. This includes all unforeseen issues including accidental oversleeping, emergencies, traffic, sickness, and otherwise. Even when cancelling without 24 hours notice, all clients are required to cancel themselves out of the classes they can’t attend with as much notice as possible to ensure fairness to the other clients in our community.
-
All class cancellations are done by the client through the Pilates Life Studio’s Punch Pass scheduling system. Please don't email or text Amy to cancel for you, it is helpful for sake of time if you cancel yourself out of the class. If you are having issues, Amy is happy to help. Once on the scheduling website, log in using the same email you receive your session reminders. Once logged in, you will see the "My Reservations" tab, click that and you will find all the sessions you are registered for. Find the session you are unable to attend, click that, and then click the "cancel reservation" button. Then head to the schedule to find a session that has an opening that you can attend and sign up.
-
Unused class credits stay on your account for 3 membership renewal cycles, giving ample time to make up classes if going away for short vacations or if sick with cold/flu. Memberships will not be paused nor renewal periods lengthened to use up accumulated class credits, the roll over feature is intended to give clients more time to make up a missing class. Cancelling a membership deletes rolled over class credits. Rolled over credits are non-refundable and non-transferable.
-
Log into the Pilates Life Studio’s Punch Pass scheduling system, find the next available class you are able to attend, and follow prompts to add yourself to the class. If you are having issues signing up for a make up class, Amy is happy to help you, but please try to sign yourself up using the scheduling system first.
-
Only book into classes you plan on attending, please do not overbook intending to cancel most right before the 24 hour mark. The benefits of the small group format are innumerable, which is why Pilates Life Studio is dedicated to keeping class sizes to only 5 clients. However, if a handful of clients sign up for a class almost every day to hold spots, and then right before 24 hours cancels out, the chances of another client filling that spot is slim. With only five clients per class, not filling that spot is impactful to the studio, as well as, the community of clients are not able to find enough makeup classes that are convenient for them. If Amy notices you have booked into too many classes in a given week, she will email to ask you to cancel out of some of them. If Amy notices a pattern of overbooking classes, membership will be cancelled.
-
For making up unused class passes add only one extra class per week in addition to your existing weekly standing reservations. For example: if you have a 2x weekly membership, you are welcome to attend 3 classes in any given week, if you have a 1x weekly membership, you are welcome to attend 2 classes in any given week, etc. Convenient list is provided below as a helpful guide. The principle of progression states that we should not increase the overload to our bodies too quickly, as this can lead to injury or muscle damage. Often called "too much too soon". If you normally come once a week, and suddenly come four times, it's too much for your body than what it is used to. Instead, we should make small, incremental increases. If Amy notices you have booked into too many classes in a given week, she will email to ask you to cancel out of some of them.
1x weekly membership: up to 2 classes per week
2x weekly membership: up to 3 classes per week
3x weekly membership: up to 4 classes per week
4x weekly membership: up to 5 classes per week
5x weekly membership: up to 6 classes per week
-
In addition to losing one class pass clients will be charged a $10 fee for no-shows. Clients must late cancel their scheduled class on the Punch Pass Scheduling System to avoid being charged the $10 no show fee. This policy ensures fairness for everyone; if you don't show up, someone on the waitlist misses the opportunity to do some healing and strengthening Pilates.
-
If you are experiencing a fever, feeling quite ill (where you may be contagious), and/or have a significant cough, please cancel your upcoming session on the Pilates Life Punch Pass scheduling system, and stay home to get well. If you have no fever, no other symptoms, and have a very minimal cough you are welcome to join the class. Late cancellation policy does apply as the studio is holding a spot for you in class, it is recommended to cancel out of your class as soon as you start to feel ill, just in case.
-
Sessions start right on time and doors lock at start time. Please knock on door if arriving late. Traffic, important calls, or other unforeseen circumstances are totally understandable. Please keep late arrivals to a minimum as what we do at the beginning of the session is important for the entire length of class.
-
If the studio is closed on a statutory holiday, membership clients that are impacted have the option to lengthen their next renewal date to include the next scheduled standing reservation date or use that class credit in an upcoming available class as a makeup. An email is sent out 1-2 weeks before the holiday asking your preference. Membership renewal requests are required before the stat holiday date.
-
For snow days, we cancel classes if schools cancel for snow days. Same options listed above apply. Membership renewals are lengthened or that class credit can be used in another class as a makeup.
-
When you arrive at the studio please put your cell phone on "silent mode". Do not use your phone while on the equipment, it is unsafe. We recommend keeping your phone in your bag.
-
Please do not wear fragrance when attending classes at the studio, some clients (and the instructors!) are allergic.
-
Membership clients have access to over 25 guided workout videos they can do at home as homework on days they are not attending the studio. Many options to chose from: mat Pilates, prehab and rehab sequences, dumbbell workouts, resistance band workouts, and barre workouts. To access, please head to the Punch Pass Scheduling System and log in. Once logged in, the "Content Library" tab appears on the menu bar. Click that to discover all your complementary homework workout videos.
-
If missing 4 or more classes for longer holidays and/or planned medical leave, with 14 days notice memberships can be paused. There is a monthly $25 administration fee. Standing reservation day(s) and time(s) are canceled if pausing memberships for more than 28 days. All pauses need to have a restart date within 2 months of pause date.
Protocol: cancel the classes you will be missing on the Punch Pass Scheduling System and then email Amy (please do not text or inform during class, email only) with at least 14 days notice of needing to pause your membership.
-
To cancel your membership one full renewal period (which is 28 days) is required by emailing Amy (please do not text or inform during class, email only). For cancelling in the middle of the 28 days, the cancellation would occur 28 days after the latest renewal period. Standing reservations are cancelled at the start of the last renewal period, class passes are still on your account to sign up for available classes on the schedule. For new memberships, three month minimum commitment needed before canceling.
-
All memberships are non-transferable and non-refundable.
-
Please head to the Studio Etiquette section of the Pilates Life website to read the list of helpful etiquette rules to ensure all sessions are joyful and meaningful for all participants. These rules will also help keep the studio in good working order.
Package Policies
We are mainly a membership-based studio, however, we do offer drop in class passes from time to time.
Drop in passes are great if you are newer to the studio and want to try out several classes before deciding to commit to your Pilates practice with a membership. Also great option if visiting the Langley area and already have a consistent practice in your hometown.
-
After purchasing your pass, please head to the scheduling system's calendar to find available classes you'd like to attend. You can book into any available class on the schedule up to 30 days ahead. Please take note of the level of the class (Foundations, Intermediate, and Advanced) and stick to the appropriate challenge for you. For your safety Intermediate and Advanced classes need approval to attend.
